Data collected through the contact form
When you use the contact form, we process the data you provide:
- full name
- e-mail address
- phone number (optional)
- company name (optional)
- subject
- message content
For technical and security reasons we additionally store: the date and time of the submission, the address of the page from which the form was sent, the selected language version and a technical submission identifier.
Purposes and legal bases
- handling your enquiry and related correspondence — Art. 6(1)(f) GDPR (the controller’s legitimate interest in responding to enquiries addressed to us);
- taking steps at your request prior to entering into a possible contract, where the enquiry concerns this — Art. 6(1)(b) GDPR;
- ensuring the security of the website and preventing abuse (technical logs, anti-spam) — Art. 6(1)(f) GDPR;
- establishing, exercising or defending possible claims — Art. 6(1)(f) GDPR.
Recipients of the data
Your data may be shared with the following categories of recipients, only to the extent necessary and under appropriate agreements:
- hosting and IT infrastructure providers,
- e-mail service providers,
- entities providing technical support and maintenance of the website,
- providers of legal or accounting services.
The website also uses the following third-party tools: (a) Google Maps (provider: Google) — loaded only after your deliberate click; (b) a technical support/chat widget provided by the technology platform on which the site runs (Abacus.AI).
Analytics and marketing tools
The website does not use any analytics or marketing tools. We do not use Google Analytics, Google Tag Manager, Meta Pixel, LinkedIn Insight Tag or similar tracking technologies.
Transfers outside the EEA
Merely visiting the website does not transfer your data outside the European Economic Area (EEA). Google Maps is loaded only after your deliberate click — you then move to the Google service, and Google processes the data as an independent controller in accordance with its own privacy policy; Google may also process data outside the EEA on the basis of an adequacy decision (EU–US Data Privacy Framework) or standard contractual clauses. The technical support/chat widget is loaded from the platform provider’s infrastructure; according to our technical audit it does not set cookies or store data in your browser when the page loads, and data is transmitted only if you actively start a conversation.
Data retention
Data submitted through the contact form is stored for the time necessary to handle the enquiry and conduct correspondence, and thereafter for 12 months from the last contact. If the enquiry leads to a contract or the start of cooperation, the data may be stored for the duration of the cooperation and thereafter for the period required by law or needed to establish, exercise or defend claims.
Your rights
In connection with the processing of your data you have the right to:
- access your data and obtain a copy,
- rectify (correct) your data,
- erase your data,
- restrict processing,
- data portability,
- object to processing based on legitimate interest,
- withdraw consent at any time — where processing is based on consent (without affecting the lawfulness of processing before withdrawal).
Right to lodge a complaint
You have the right to lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warsaw, Poland) if you consider that the processing of your data infringes the GDPR.
Voluntary nature of providing data
Providing data is voluntary but necessary to respond to your enquiry. Failure to provide the data marked as required (full name, e-mail address, subject and message content) will make it impossible to process your enquiry.
Automated decision-making
Your data is not subject to automated decision-making, including profiling.
Technical logs
The server may record technical logs (including IP address, date and time of the request) in order to ensure security, diagnostics and to limit abuse (rate limiting). Logs are used solely for these purposes and stored for the period necessary to achieve them.
Cookies, localStorage and similar technologies
The website does not use cookies for analytics or marketing. We use only technologies strictly necessary for the website to function correctly:
- localStorage “imt-lang-pref” — remembers the language version you deliberately selected; it is written only after you make a choice and is not used for tracking,
- a session cookie — only in the website’s administration panel (login), which is not accessible to ordinary visitors.
Because the website does not run any consent-requiring cookies or tracking tools on entry, we do not use a cookie consent banner. Google cookies may only be set once you deliberately click to open Google Maps.
Changes to this Privacy Policy
We may update this Privacy Policy to reflect legal or technical changes. The current version is always available at this address.
